Channel manager for Airbnb and Vrbo: what to check

If your holiday home is listed on Airbnb and Vrbo, start by deciding whether you need shared availability or a wider reservation workflow. A calendar feed and a channel manager are different buying briefs. The right choice depends on what must move between the channels and who will handle an exception.

Can you connect Airbnb and Vrbo without buying a channel manager?

Airbnb and Vrbo both document calendar import and export options. These can be a starting point when the immediate job is sharing blocked dates. Read the current instructions for each account and property, and verify the update behaviour; a calendar feed should not be treated as an instant reservation guarantee.

Airbnb’s guidance distinguishes imported blocked nights from its own availability settings. It also explains that imported calendars refresh periodically. That is a reason to test your exact setup before accepting bookings across sites, rather than assuming that copying two calendar links completes the operating process.

Write down what you still do manually: changing rates, copying stay restrictions, reading guest messages or reconciling payments. If calendar syncing addresses the whole brief, an additional subscription may add little value. If those remaining tasks create risk or regular work, use them as the requirements for a channel-manager demonstration.

Calendar feed or software connection: ask what moves

For each proposed connection, request a field-by-field explanation covering availability, rates, minimum stays, reservation changes, messages and payments. Do not infer support for a field from a vendor logo in an integration directory. Ask which functions are available for your account, property type, country and selected plan.

Choose one system in which the team will make each type of change. An API connection does not establish that every setting is controlled in the same place, or that channel-specific rules disappear. Keep a written map of where rates, restrictions and blocked dates should be edited.

  • Record the Airbnb listing ID, Vrbo property ID and matching software property before connection.
  • Identify which system publishes availability and rates, and who monitors connection errors.
  • Confirm the treatment of owner stays, preparation nights, cancellations and changed dates.

Run three tests with the same fictional property

First, demonstrate a new booking and trace which dates become unavailable elsewhere. Second, amend the stay and inspect both the released nights and the newly occupied nights. Third, cancel the booking and check what happens to availability, messages and any separate payment record.

Repeat the exercise with a manual owner block and a minimum-stay change. Record the result and any delay the provider specifies, rather than timing one demonstration and calling it a reliability benchmark. Ask where the team will see a failed update and how it should reconcile a mismatch.

  • New booking: correct property, arrival, departure and blocked nights.
  • Changed booking: old nights released where appropriate, new nights handled correctly and messages reviewed.
  • Cancellation: reservation status, availability and payment handling remain explainable.

Compare products against the work left over

For a smaller operation, start with Smoobu for a channel-led brief, Lodgify when a direct-booking website is central, or Hospitable when repeat communication dominates. A professional management team can add Hostaway to a brief that includes owner processes and staff handovers. These are editorial starting points; validate current connection scope in the linked provider guides.

Request the same property count, billing period and channel scope in each quote. Include booking-based charges, extra users and implementation work. PriceLabs is a separate pricing decision, not a substitute for confirming the reservation and channel workflow. Compare total costs only after the connection requirements are clear.

Keep a cutover record

Before changing an existing connection, export future reservations and record every current calendar feed and software mapping. Agree the order of the transition with provider support so that the team knows which connection is authoritative at each stage.

After the pilot, reconcile future bookings against both channel dashboards. Keep a person responsible for checking exceptions and a documented fallback. Avoid disconnecting every property at once merely because a demo worked for a single reservation.

Common questions

Do I need a channel manager for one Airbnb and Vrbo property?

Not automatically. Compare the work left after native calendar syncing with the cost and setup of a channel manager. If rates, restrictions, messages or reservation changes need regular manual handling, demonstrate those tasks before buying.

Will calendar syncing also copy my prices and messages?

Do not assume that a calendar feed carries rates, messages, payments or every availability rule. Read each channel’s current calendar documentation and ask the software provider to demonstrate the specific fields your operation needs.
